Getting Started

Do I need to know WordPress?

Nope. If you can use Gmail or Spotify, you can use Artalyx. We handle all the technical stuff—you just install the plugin and start managing your business. Most people are up and running in under 10 minutes.

Does this work with my existing WordPress site?

Yes, if you have WordPress. But you don’t need a public-facing website—many users install WordPress locally or on a private server just to run Artalyx. It’s your backend management system, not necessarily your public site.

Can I import my existing data?

Yes. Import artists, contacts, and releases from CSV files (Excel, Google Sheets, etc.). We support bulk imports so you don’t have to manually enter hundreds of contacts. Export is just as easy if you ever want to leave.

Is there a free trial?

Yes. The Artist Edition is free forever (1 artist, 3 releases, 100 contacts). Paid plans include all features from day one—no trial limitations.

Operating Modes

What’s the difference between the three modes?

  • Label Mode: For running a record label (artists, releases, royalties, contracts)
  • Promotions Mode: For PR agencies (client campaigns, media pitching, coverage tracking)
  • Full Mode: Both combined—for labels that also do promo work or agencies that release their own music

Can I switch between modes?

Yes, anytime. Free tier is locked to Promotions Mode only. Starter through Business tiers choose Label OR Promo Mode. Enterprise tier gets Full Mode (both simultaneously).

Which mode should I choose?

If you’re managing signed artists and handling royalties, choose Label Mode. If you’re running PR campaigns for clients, choose Promotions Mode. If you’re doing both, upgrade to Enterprise for Full Mode.

Pricing & Plans

What happens if I exceed my plan limits?

You’ll see a notification when you’re approaching your limits. You won’t lose data, but you’ll need to upgrade to add more artists, releases, or contacts. Email limits reset monthly.

Can I upgrade or downgrade anytime?

Yes. Upgrades take effect immediately. Downgrades take effect at the end of your current billing period. If downgrading puts you over limits, you’ll need to remove data before the downgrade completes.

Do you offer refunds?

Yes. 30-day money-back guarantee on all paid plans, no questions asked. After 30 days, annual plans are non-refundable (but you can cancel anytime).

What payment methods do you accept?

We accept all major credit cards (Visa, Mastercard, American Express, Discover) through Stripe. Enterprise customers can pay by invoice.

Is pricing per user or per organization?

Per organization. Your plan includes multiple users (2-15+ depending on tier). All users share the same artist roster, contact database, and campaign data.

Features & Functionality

Can my team use this?

Yes. Paid plans support multiple team members with different permission levels. Set up roles like Admin, Manager, Artist, and Client—each sees only what they need.

Does it integrate with Gmail?

Yes. We use Gmail OAuth, which means you log in through Google’s secure system. We never see or store your password. Send tracked emails directly from Artalyx and see opens, clicks, and responses.

Does it sync with Google Calendar?

Yes. Two-way sync with Google Calendar. Create events in Artalyx and they appear in Google Calendar. Changes sync automatically.

Can I track email opens and clicks?

Yes. See who opened your emails, when they opened them, and which links they clicked. Perfect for following up with media contacts at the right time.

Can I create custom fields?

Not yet, but it’s on the roadmap. Currently you can use the Notes field for additional information. Enterprise customers can request custom development.

Technical Questions

What are the system requirements?

WordPress 5.8 or higher, PHP 7.4 or higher, MySQL 5.6 or higher. Works with any WordPress hosting provider. Recommended: WordPress 6.0+, PHP 8.0+.

Will this slow down my WordPress site?

No. Artalyx is optimized for performance. Admin functions run in the WordPress backend and don’t affect your public-facing site speed.

Where is my data stored?

Your data lives on YOUR WordPress server. We don’t store your data in the cloud. This means you have complete control and ownership. Export to CSV anytime.

Do you store my email password?

No. We use Gmail OAuth, which means you log in through Google’s secure system. We never see or store your password. You control access through your Google account settings.

Is my data secure?

Yes. Data is stored in your WordPress database with standard WordPress security. We recommend using SSL certificates, strong passwords, and keeping WordPress updated. Enterprise customers can request additional security audits.

Can I use Artalyx on multiple sites?

Each license allows installation on a limited number of sites (1-5+ depending on tier). Enterprise tier includes multi-site support. Contact sales for volume licensing.

Support & Help

What if I need help?

Free tier: Documentation and online resources. Starter/Pro: Email support (24-48 hour response). Business: Email support (12 hours) + phone support. Enterprise: Priority support (4 hours) + dedicated account manager.

Do you offer training or onboarding?

Enterprise customers receive personalized onboarding and training. All tiers have access to documentation, video tutorials, and email support.

Do you offer custom development?

Enterprise customers can request custom features. Contact sales@artalyx.app for pricing.

Data & Privacy

What happens to my data if I cancel?

It stays in your WordPress installation forever. Artalyx is a plugin, not a cloud service—your data lives on YOUR server. Export everything to CSV before you cancel if you want backups elsewhere.

Can I export my data?

Yes. Export artists, releases, contacts, and campaigns to CSV anytime. Your data is never locked in.

Do you sell my data?

Never. We don’t have access to your data—it’s stored on your server. We only collect anonymous usage analytics to improve the plugin. See our Privacy Policy for details.
